When You Are the Receptionist
1. Arrive 30 minutes before the meeting begins.
2. Set up the Reception Desk:
(1). Club card / Clubs Briefing / Admission Box
(2). Guest sign up sheet / Blank Guest Card / Pens & Markers
(3). Name badges for members / Member sign up sheet
(4). Ballots & Meeting Agenda
3. Assist the Sergeant at Arms with the following:
(1). Lectern / Gavel / Microphones / Club Banner / National Flags
(2). Posters on the lobby & outside the meeting room
(3). Pitchers with Water / Paper Cups / Plates
(4). Stop Watch & 3 colored Flags
(5). Briefing for Timer / Ah-counter / Vote counter
4. Collect the admission fee (if it is required) from Guests and Inactive
Members hand in the money to the treasurer during the intermission.
5. Greet every member and guest with warmth and smile. Make sure each one in
the meeting wear a name badge and sign in for record keeping. Make sure the
writing of guests' emails and phone numbers is clear.
6. Give the first-time guest the following:
(1). A Brief Introduction to Toastmasters Club
(2). Club Card
(3). Name badge
7. After the meeting, collect the badges from everyone
8. Clean up the meeting room with all the assignment takers for the evening!!
